Information for Faculty Advisors

MSU's academic advising program provides quality academic advising in a positive environment that is welcoming, supportive, inclusive, and collaborative. Faculty advisors guide students toward becoming active participants in the learning and decision-making processes and by assisting in the development of sound educational plans that will help students reach their career and academic goals. The following resources may be used to assist students during the advising process:

  • Academic advising handbook
  • Academic Calendar
  • Change of major form
  • Faculty Experience (submit a retention alert)
  • General education course substitution form
  • Pre college curriculum requirements
  • Undergraduate and graduate catalogs

PROCESS FOR ASSIGNMENT OF ACADEMIC ADVISORS

First Time Freshman - The advisor assignment should be made following the Student Orientation and Registration (SOAR) session the student attends. Each academic unit should develop a process to determine the person(s) responsible for making the advisor assignment. As a follow up measure, academic units should request a list of enrolled students without an assigned advisor from the Office of the Registrar during the second week of each fall and spring semester.

Transfer Students - The Office of Admissions will notify the appropriate dean’s office or university college staff member when a transfer student has been admitted so an advisor assignment can be made. It is recommended that an email also be sent by the staff member making the advisor(s) assignment to the student providing the advisors contact information and an alternate contact should the advisor not be available i.e. sabbatical, leave of absence etc. The academic advisor should be copied on the email as well.

Returning Students - The Office of Admissions will notify the appropriate dean’s office or university college staff member when a returning student has been re-admitted so an advisor assignment can be made or reactivated. It is recommended that an email also be sent by the staff member making the advisor(s) assignment to the student providing the advisors contact information and an alternate contact should the advisor not be available i.e. sabbatical, leave of absence etc. The academic advisor should be copied on the email as well.

Post-Baccalaureate Students - The Office of Admissions will notify the appropriate dean’s office or university college staff member when a post-baccalaureate student has been admitted so an advisor assignment can be made. It is recommended that an email also be sent by the staff member making the advisor(s) assignment to the student providing the advisors contact information and an alternate contact should the advisor not be available i.e. sabbatical, leave of absence etc. The academic advisor should be copied on the email as well.

Veterans - The Office of Admissions will notify the appropriate dean’s office when a veteran has been admitted so an advisor assignment can be made. The Veterans Affairs Officer (VAO), located in the Office of the Registrar should also be copied on this message. It is recommended that an email also be sent by the staff member making the advisor(s) assignment and the VAO to the student providing their and the advisor contact information and an alternate contact should the advisor not be available i.e. sabbatical, leave of absence etc. The academic advisor should be copied on the email as well.

Notes:

  • When a student changes their area of concentration (track), major and/or minor or requests a new advisor, it is important that the previous advisor(s) assigned be given an end date in SPRO on Colleague.

  • If academic advisors are not available to provide advising help to students during the intersession and summer terms, it is recommended that the academic department provide students with an alternate contact for that period.
